This Privacy Policy describes how Aquarian Systems LLC ("we", "our", or "us") collects, uses, and protects information when you use the SimplePhone (also known as SimpleDial) family of applications, including the kiosk app installed on a senior's device and the caregiver companion app.
1. Who This Policy Covers
SimplePhone is a senior-care communication platform designed for elderly individuals (the resident) and their family members or caregivers. Both apps are intended for adults 18 and older. We do not knowingly collect personal information from children under 13.
2. Information We Collect
We collect only the information necessary to provide the service:
- Account information — caregiver email address and a hashed password when you register.
- Device information — a device identifier and API key assigned to the resident's kiosk device.
- Contact data — names, phone numbers, and photos of contacts you add to the resident's speed-dial.
- Calendar & reminder data — events, medication reminders, and schedules you create for the resident.
- Medical information — if you choose to enable the optional Medical Info feature, you may enter health details such as blood type, physician contact, insurance, and medications. This information is stored securely and never shared with third parties.
- Photos — photos shared to the resident's device (including photo-frame slideshow images and contact photos).
- Voicemail recordings — audio messages left by callers when the resident does not answer. Recordings are stored on our servers for up to 30 days and deleted automatically unless starred (max 5 starred messages retained indefinitely until manually deleted).
- Voice messages — audio messages sent by caregivers to the resident's device.
- Location data — approximate GPS coordinates of the resident's device, collected only when the "Find Device" feature is active and only accessible to linked caregivers.
- Battery & connectivity status — battery level and online/offline status used to alert caregivers of potential issues.
- Call log — a log of incoming and outgoing calls on the resident's device, visible to linked caregivers.
- Push notification tokens — Firebase Cloud Messaging tokens used to deliver alerts to the companion app.
3. How We Use Your Information
- To operate the SimplePhone service and synchronise data between the resident's device and the caregiver companion app.
- To deliver push notifications (new voicemails, low battery alerts, incoming calls, etc.).
- To provide caregivers visibility into the resident's well-being and communication activity.
- To improve the reliability and performance of the service.
We do not sell, rent, or share your personal information with third parties for advertising or marketing purposes.
4. Data Storage and Security
All data is transmitted over HTTPS/TLS and stored on servers we operate. We use industry-standard security practices including encrypted transit, hashed passwords (bcrypt), and access controls. Audio recordings and photos are stored as files with access restricted to authenticated users linked to the device.
5. Data Retention
- Voicemail recordings: deleted automatically after 30 days unless starred.
- Call logs: retained while your account is active.
- Account data: retained until you request deletion.
- You may delete individual items (voicemails, photos, contacts, calendar events, medical info) at any time through the companion app or by contacting us.

7. Caregiver Access
Caregivers linked to a device can view contacts, call logs, voicemails, photos, location, calendar events, reminders, and medical information for that device. It is the responsibility of the caregiver account holder to ensure the resident has consented to this monitoring arrangement.
8. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate data.
- Request deletion of your account and associated data.
- Export your data.

9. Changes to This Policy
We may update this policy from time to time. Material changes will be communicated via the companion app. Continued use of the service after changes constitutes acceptance of the updated policy.
